On April 7, 2009, the first Green Convene board was elected at a community meeting held in the Clifton Center. The board will help direct the future of The Green Convene over the coming months. The current board positions are held by the following individuals:
The Green Convene's vitality depends directly on participation from the community it serves. We invite you to get involved in whatever capacity suits you. Even if you just have a few hours to help man a table at an event one weekend, we would love to have you get involved. Simply fill out the form at the bottom of any of the pages on GreenConvene.org and tell us how you want to help and/or how we can help you.

These groups will form and disband in accordance with the interests of the members of the organization. Each group will be focused on a particular issue, such as climate change, transportation, victory gardens, etc. There is no limit to the number of FIGs that may exist. The purpose of the FIG is to identify problems and possible solutions to those problems. These groups will then be responsible for taking action to implement the solutions that are approved by the Board of Directors. FIGs should work with existing organizations that are already focusing on their issue. FIGs do NOT act on behalf of the Green Convene in any way unless explicitly approved by the Board of Directors to do so.
Each FIG will have a Chairperson and Co-Chairperson. The Chairpeople should be focused and committed go-getters. The FIG Chairperson will be responsible for scheduling meetings of their FIG. The FIG Chairperson will assist the group in coming up with recommendations to the Board of Directors as to the action that Green Convene should take on their issue. The FIG Chairperson will present the recommendations to the Board of Directors in writing, along with an itemized budget. Upon receipt of funds, the FIG Chairperson will be responsible for ensuring that the funds are spent appropriately and will save all receipts from purchases made with the funds and give those receipts to the Treasurer. The FIG Chairperson will report regularly to the Board of Directors and at General Meetings as to the progress of the focus group. The FIG Chairperson should also prepare a brief written description of their FIG’s activities so that all members of Green Convene can know what the FIGs are doing. The Co-Chairperson will help the Chairperson with all activities as needed. FIG Chairpeople will not have a vote on the Board of Directors.
There will be an Event Committee whose responsibility it is to plan biannual meetings of the Green Convene. It is the duty of the Event Committee to form suggestions for all details of the event. If the suggestions are approved by the Board of Directors, the Committee will be responsible for organizing all aspects of the event. The Event Committee may suggest additional events that Green Convene could host or participate in.
There will be an Event Committee Chairperson and Co-Chairperson. The Event Committee Chairperson will be responsible for scheduling and running the meetings of the Event Committee. The Event Committee Chairperson will prepare an itemized budget and present it in writing to the Board of Directors. Upon receipt of funds, the Chairperson will be responsible for ensuring that the funds are spent appropriately and will save all receipts from purchases made with the funds and give those receipts to the Treasurer. The Event Committee Chairperson will be on the Board of Directors. It is the duty of the Event Committee Chairperson to report to the Board of Directors on the progress of the Event Committee. The Event Committee Co-Chairperson will help the Event Chairperson in all activities as needed but will not have a vote on the Board of Directors.
Specific duties include:
There will be a single Communications Committee. The Communications Committee will be responsible for all aspects of the webpage and any other public relations or media items. The Communications Committee will work with the Membership Coordinator in regards to public outreach. The Communications Committee will also work with focus groups on grassroots media when appropriate. The Communications Committee must have approval from the Board of Directors before publishing any document. Such approval may be given on specific items, or a general blanket approval for certain communications may also be given.
There will be a Communications Committee Chairperson and Co-Chairperson. The Communications Committee Chairperson shall be responsible for scheduling and running Communications Committee meetings. The Communications Committee Chairperson will be on the Board of Directors. The Communications Committee Chairperson will prepare an itemized budget for the Communications Committee which is to be presented to the Board of Directors in writing. Upon receipt of funds, the Chairperson will be responsible for ensuring that the funds are spent appropriately and will save all receipts from purchases made with the funds and give those receipts to the Treasurer. The Communications Committee Co-Chairperson will help the Communications Chairperson in all activities as needed but will not have a vote on the Board of Directors.
Specific Duties Include:
There shall be a Membership Committee whose responsibility it is to recruit new members and keep track of current members. The Membership Committee shall work with the Communications Committee on outreach materials and methods when appropriate. The Membership Committee will also keep track of volunteer efforts. The Membership Committee should ideally be aware of who is working on what at all times.
There will be a Membership Committee Chairperson and Co-Chairperson. It is the duty of the Membership Committee Chairperson to schedule and run meetings of the Membership Committee. The Membership Committee Chairperson may create an itemized budget and present it to the Board of Directors in writing. The Membership Committee Chairperson will be on the Board of Directors. The Membership Co-Chairperson will help the Membership Chairperson with all activities as needed but will not have a vote on the Board of Directors.
Specific Duties Include:
There shall be a Fundraising Committee that is responsible for raising money for the Green Convene. The Fundraising Committee shall come up with ideas on how to raise funds and will have the Fundraising Committee Chairperson present those ideas to the Board of Directors. Upon approval of its plans, the Fundraising Committee will be responsible for implementing the plans and raising money. Strict records will be kept of the identity of each donor and the amount of money given. Two copies of the records will be made. One copy will be given along with all money that is raised to the Treasurer for deposit in the bank account. The other copy shall be given to the Board of Directors.
There will be a Fundraising Committee Chairperson and Co-Chairperson. It will be the responsibility of the Fundraising Committee Chairperson to hold regular meetings of the Fundraising Committee. The Fundraising Committee Chairperson may present an itemized budget to the Board of Directors. Upon receipt of funds, the Chairperson will be responsible for ensuring that the funds are spent appropriately and will save all receipts from purchases made with the funds and give those receipts to the Treasurer. The Fundraising Committee Chairperson will be on the Board of Directors and will report regularly as to the status of fundraising activities. The Fundraising Co-Chairperson will help the Fundraising Chairperson with all activities as needed but will not have a vote on the Board of Directors.
Specific duties include:
The Policy Action Committee is a permanent standing committee whose job it is to pay attention to bills and ordinances relating to sustainability, understand them and develop Green Convene’s stance on those items. Prior to the stance becoming official, it should be submitted to the Board of Directors in writing for final approval. Once a stance has become accepted, the Policy Action Committee can recommend action on the policy item. The Policy Action Committee should also assist any FIGs that would like to create policy actions.
The Policy Action Committee will have a Policy Action Committee Chairperson and Co-Chairperson. The Policy Committee Chairperson will serve on the Board of Directors. The Policy Action Co-Chairperson will help the Policy Action Chairperson with all activities as needed but will not have a vote on the Board of Directors.
Specific Duties Include:
For elections of the officers, an Election Committee shall form. The Election Committee will be responsible for deciding the time, place and manner of the elections and holding the elections. The Election Committee shall be responsible for determining the elected officials and reporting the results. The Election Committee shall be transparent in its actions by making clear the methods of taking and counting votes.
President - The President will serve on the Board of Directors. The President is the official spokesperson for Green Convene and will be the one to attend meetings outside of the Green Convene when necessary or appropriate. The President will be responsible for setting the agenda and running Board Meetings and General Meetings. The President will also address additional issues that do not fall under a particular committee’s domain as they come along. The President may either handle the matter by him or herself or delegate the matter to the committee or person most suited to take care of it.
Vice President - The Vice President will assist the President in his or her duties.
Secretary - The Secretary will serve on the Board of Directors. It is the job of the Secretary to take minutes of General Meetings and Board Meetings for the purpose of keeping Green Convene transparent. The minutes need not be verbatim, but must describe the conversations of each meeting as fully as possible. At a minimum, the minutes must consist of a comprehensive outline of the topics discussed and the decisions reached. The Secretary will be responsible for making sure that the minutes are compiled in the appropriate place, whether that be in a notebook, on the website, or both.
Treasurer - The Treasurer will serve on the Board of Directors. The Treasurer is responsible for maintaining the funds of Green Convene. All deposits and withdrawals will be done by the Treasurer. The Treasurer must keep comprehensive and itemized reports of all bank activity that are to be stored in a notebook accessible only by the Treasurer and Board of Directors. The Treasurer will also check the receipts of the Chairpersons to make sure that all funds are being spent as directed by the Board of Directors. The Treasurer shall only make withdrawals when directed to do so by the Board of Directors.
Coalition Group Representative (& Co-Representative) - There will be a Coalition Group Representative and Co-Representative. The Coalition Group Representative will be on the Board of Directors. It is the duty of the Coalition Group Representative to represent the interests of the organization-members of the Green Convene during meetings of the Board of Directors. The Co-Representative will help the Coalition Group Representative with all activities as needed but will not have a vote on the Board of Directors.
Specific Duties Include:
Community Representative ( Co-Representative) - There will be a Community Representative and Co-Representative. The Community Representative will be responsible for running monthly General Meetings of the Green Convene. The Community Representative will serve on the Board of Directors. It is the duty of the Community Representative to represent the feelings and concerns of individuals who are members of the Green Convene. This person should be available to speak to individuals whenever they have concerns. The Community Representative should also pay attention to the sentiments of the community outside of Green Convene as well. The Community Representative will make sure that these concerns are considered at meetings of the Board of Directors. The Co-Representative will help the Community Representative with all activities as needed but will not have a vote on the Board of Directors.
Specific Duties Include:
I. I. The Board of Directors will consist of the President, Secretary, Treasurer, Fundraising Committee Chairperson, Membership Committee Chairperson, Communications Committee Chairperson, Event Committee Chairperson, Coalition Group Chairperson, Policy Committee Chairperson and the Community Representative.
II. II. All offices shall be held for a term of one year. If for some reason an officer or chairperson must leave his or her position prior to the end of the term limit, the Board of Directors will vote to fill the position until the next annual election.
III. All decisions of the Board of Directors will be made by majority vote.
IV. The Board of Directors will decide how to allocate funds. For any group or committee to receive funds, it must submit a written and itemized budget. The Board of Directors may choose to satisfy a budget in full, in part, or not at all. The Board of Directors may also choose to reimburse expenses that were made without prior approval if there is a receipt.
V. All actions taken by members of the Green Convene must be approved by the Board of Directors. The Board of Directors may give blanket approval for certain actions, or may give approval piecemeal.
VI. Every member of the Board of Directors has a duty to disclose any conflicts of interest, and members with conflicts shall not vote on matters in which they are conflicted.
VII. In the event that members feel that an officer or chairperson needs to be removed, the Board of Directors will discuss the matter. If there is reasonable cause to remove that person from their position, the Board of Directors may do so upon majority vote.
VIII. If the budget can support it, the Board of Directors may vote to pay officers or chairpersons for their work. If approved, the employee will be paid an hourly amount no greater than the average salary for that type of work, and the employee will be required to submit time sheets prior to being paid. The time sheets will show the amount of time spent and the work done during that time.
